Privacy

• Team members who sign in to use it.
• People at partner schools, whose contact details the team records while arranging sessions.

From signing in with Google: your name, email address and Google account ID.

We ask Google only for your basic profile. We cannot read your Gmail, your Drive or your calendar, and we never receive your password.

Entered by the team:

• Schools — name, address, city, status, notes.
• Contact people at those schools — name, position, phone, email, notes.
• Sessions and bookings — date, number of participants, package, price, stage, notes.
• Follow-ups, and a log of calls, emails and meetings.

Recorded automatically: an audit trail of who changed which field, when, and what the value was before and after.

Running and monitoring Wandering Minds PH’s school programmes. That is the whole purpose. It is not used for advertising or profiling, it is not sold, and it is not shared with anyone for marketing.

On Cloudflare’s infrastructure, reachable only through this site over an encrypted connection.

• Google Sheets. The system writes a one-way copy of its records to a private spreadsheet owned by Wandering Minds PH, so the team can still read them if this site is unavailable. Package prices are left out of that copy.
• Google. Handles sign-in.
• The assistant. Currently switched off. If it is switched on, it sends only the records the signed-in person is already allowed to see to Google’s Gemini service in order to answer their question. Prices are never sent on behalf of a staff account.

Administrators see everything. Staff accounts cannot see package prices or revenue figures — the restriction is applied on the server before the data is sent, not merely hidden on the screen.

For as long as it is useful to the working relationship with the school. Records can be removed sooner on request.

Write to tech@kbarnhill.com to ask what we hold about you, to correct it, or to have it deleted. If you are a contact at a school and would rather we did not keep your details, say so and we will remove them.

If the system starts collecting something new, or sending records somewhere new, this page is updated to say so. The date at the top tells you when that last happened.
